It may seem unnecessary to track homeschool attendance. After all, you know when you are educating your children at home. However, depending on where you live and homeschool, information such as attendance is required by regulatory authorities on a regular basis. To help with attendance tracking for your at-home students, we offer a Homeschool Attendance Sheet template with automated start month.

A worksheet that controls the start month to be displayed on the “Attendance” worksheet.

Using the Template

General Use

Attendance Worksheet

Make yourself at home with your homeschool attendance sheet by adding a personal title, as shown below. Next, populate important fields, such as School Name, School Term, Student’s Name, Chief Administrator, and others.

Note: Check with your state or local regulatory authorities to determine what type of information is required for reporting. If additional fields are needed, simply add more fields by typing them into the cells at the top of the worksheet (or overwrite any unnecessary fields). Insert more rows if many other fields are required. A tutorial on inserting multiple rows can be found here.

You can also change the gray and white attendance sheet color scheme by modifying the background and/or text colors. A tutorial on modifying color schemes can be found here.

Finally, there is a sign off section down at the bottom to finalize this document before filing and submitting the attendance sheet.

Setup Worksheet

Go to the Setup worksheet to set the start month. For example, if you prefer to start the school year in August, use the dropdown list in cell C4 to select “August.”

Once the “start month” is selected in the Setup worksheet, it will automatically change the first month in the Attendance worksheet, to reflect your selection.

Track Attendance

Attendance can be taken in many different ways. The easiest is to enter a letter, such as an “X” or a “P,” into the box when the student is present. Building from this, you can create letter codes to represent types of attendance. For example, “H” can represent a half day, “A” can represent an absence, and so on.

Attendance can also be tracked using color codes. In the example below, green is used to indicate that the student is present on a regular school day, while red is used to represent an absence or day off from school.

Number the days to represent positive attendance and make counting the total attendance a snap.

If you are a fan of checking the box, you can use check marks to take attendance, too! To enter a checkmark, use the “Wingdings 2” font and enter “P” into the cells.

Calculate Attendance Totals

Attendance totals can be calculated manually, but this method could be time consuming. To save time, attendance can be calculated automatically using a simple formula. For example, if you are using an “X” to count attendance, enter the following formula into the “Total” column at the end of the first month:

=COUNTIF(C9:AG9,"X")

This formula will capture any attendance marked with an “X” (for row 9) with a range of C9 to AG9. Drag this formula down to automatically calculate attendance for all months.

New Sheets and Historical Records

If you are homeschooling more than one student, you may want to create multiple attendance sheets to keep organized in one file. To create multiple attendance sheets, duplicate the original attendance sheet until there is an attendance sheet for each student. You can also create a new attendance sheet for the same student each year by using the same method.
